How to find warm intros on HubSpot

A target account is already in HubSpot. Before adding another contact to a sequence, ask a better question: who in our network could introduce us?

The Swarm MCP brings relationship research into HubSpot’s AI agent workflow. It helps you identify relevant people, find potential connectors and turn the results into a specific introduction request.

Access note: This guide covers the new MCP workflow. Connector availability depends on rollout and your HubSpot account. If The Swarm MCP is not listed in your account, contact our team for access and setup guidance. The existing Swarm HubSpot app is a separate way to view warm paths on CRM records.

1. Start with one account and one clear objective

Choose a company from your HubSpot pipeline. Copy its website domain and define the person you need to reach: for example, a VP of Revenue Operations in the United States. A domain is more useful than an ambiguous company name.

Start with a single account before expanding to a target list. Your goal is a useful introduction, not a long list of possible connections.

2. Connect The Swarm to your HubSpot agent

You need a Swarm account with Owner, Admin or Contributor access, plus permission to configure agents in HubSpot. Make sure your Swarm team includes the connectors you would actually ask for help.

For accounts with access to The Swarm MCP, use HubSpot’s connector flow:

  1. Open Agents → Agent Hub and select the agent you want to configure.
  2. In the agent’s actions, choose Add action → Connectors.
  3. Find The Swarm MCP, select Connect and add, and follow the sign-in and authorization prompts.
  4. Enable the tools needed for people, company and relationship research. Test with one account before using the agent across a larger workflow.

Menu labels and access can vary. Follow HubSpot’s current connector instructions and The Swarm MCP documentation. If the connector is missing, ask our team to confirm availability rather than trying another assistant’s credentials.

3. Ask for the people and the paths

Use this as a starting prompt, replacing the bracketed fields:

Use The Swarm to find people working in [function] at [company domain]. Focus on [seniority] in [location]. Then look for warm introduction paths through my team’s Swarm network. For each result, show the target, connector, relationship context and connection strength if available. Flag missing information and do not infer a close relationship without evidence.

If you already know the person, use their profile URL:

Find warm paths to [person’s LinkedIn URL] through my team’s Swarm network. Which connectors should I check with first, and what evidence supports each path?

The Swarm combines a dataset of 500M professional profiles and 50M companies with your team’s available relationship context. Results depend on your network, account permissions and the data available for each person.

4. Check the relationship before asking

A shared employer, school or investor can reveal a potential path. It does not prove that someone knows the target well enough to make an introduction.

Learn more about the signals behind these paths on our relationship data page.

Review the target’s current role, the reason for the connection and whether your team has a real relationship with the connector. Then ask the connector whether they know the person well enough to help.

For these results, separate confirmed information from inferred signals. Identify the two paths worth validating first and explain what we should ask each connector.

5. Draft a request that is easy to forward

Once you have a credible path, ask the agent to prepare a short request:

Draft an introduction request to [connector] for [target]. Explain why the conversation would be relevant to the target. Keep the request under 100 words, make it easy to decline, and include a separate two-sentence forwardable blurb. Use only the facts provided.

A simple version:

Hi [connector], do you know [target] well enough to introduce us? We help [type of team] solve [specific problem], and I thought this might be relevant because [verified reason]. No pressure if the timing or relationship isn’t right. I’ve included a short blurb below to make it easy.

Review the draft and send it through your normal workflow. The Swarm MCP connection is read-only: it does not send the introduction or create, update or delete HubSpot records.

6. Track the outcome in HubSpot

Log the connector, target, request date and next step on the account or deal using your existing CRM process. Track introductions requested, introductions made, meetings held and qualified opportunities separately.

Review ten target accounts each week. Keep the paths that produce helpful conversations, and refine your connector network when the results are weak.

Common questions

Is this the same as The Swarm HubSpot app?

No. The app surfaces relationship context alongside CRM records. MCP lets a connected AI agent query Swarm data using natural-language instructions. Choose the interface that fits how your team works.

Does every prompt cost a credit?

Credits depend on the tools the agent calls. The current MCP documentation describes charges for successful profile searches, company searches and partner-network mapping; relationship lookups are free. A single prompt can trigger multiple tool calls. HubSpot may separately charge for agent usage. Check both plans before scaling.

Can I map a partner’s network?

Partner network mapping requires Swarm partner access. Your own team’s relationship lookup and mapping an external organization are different workflows.

What if no warm paths appear?

Check the domain or profile URL, your team’s connectors and your permissions. Broaden the target role where appropriate. An empty result means no matching path was found in the available network; it does not mean an introduction is impossible.
